2026-10-draft-1

Draft for administrator and legal review. This text is a working policy, not approved legal advice, and must be confirmed before public launch.

Golf Performance Coach (“GP”) records golf performance data so players, guardians and coaches can see what is improving and what needs work. This policy explains what we hold, why, and the choices you have.

1. Who is responsible

The GP operator named in Settings → Business & Intellectual Property is the data controller for the accounts and performance data described here. Contact details are published with the same notice.

2. Information we collect

Account email address, display name, country and city, preferred language, roles, and the profile details you enter (handicap, home club, playing level, facilities, available practice time).

3. Golf performance data

Scorecards and hole-by-hole statistics, shot problems you report, training assignments and logged sessions, practice test results, objectives, and performance metrics calculated from them.

4. Why we process it

To provide scoring, analysis, training recommendations and progress tracking; to give approved coaches and guardians the visibility you authorise; to operate subscriptions; and to keep the service secure.

5. Legal bases

Performance of the service you signed up for, your consent for optional features such as coach access and sharing, and our legitimate interest in security and fraud prevention. Where local law requires consent, we ask for it before processing.

6. Children's information

Children under 13 do not create their own GP login. A junior profile is a managed player record created and controlled by a parent or legal guardian. We collect only what is needed to coach the child's golf.

7. Parental authorisation

Before a junior profile is used, the guardian confirms the relationship, reviews this notice, authorises processing of the child's golf data, and chooses whether coaches may access the profile and whether results may be shared publicly. Each consent is recorded with its policy version and timestamp, and can be withdrawn.

8. Coach access

A coach sees a player's data only after the player, or a junior's guardian, approves the link. Access can be revoked at any time, and coach access to junior profiles is off unless the guardian enabled it.

9. Payments

Subscription payments are handled by an approved payment provider. GP does not store complete card numbers. Billing records such as invoices and receipts are kept for accounting, tax and fraud-prevention purposes.

10. Service providers

We use hosting, database, media storage, email and payment providers that process data on our instructions. They are bound to confidentiality and may not use GP data for their own purposes.

11. International transfers

Some providers process data outside your country. Where that happens, transfers rely on the provider's contractual safeguards and the requirements of applicable data protection law.

12. Retention

Performance data is kept while your account is active and for a short period afterwards so a deletion can be verified. Billing records are kept for the period required by accounting and tax law.

13. Security

Access is validated on the server for every request, records are scoped to their owner, guardians and approved coaches, media is served through signed links, and administrative actions are logged. Credentials are held in server-side secrets.

14. Your rights

You may ask for access, correction, export, restriction or deletion of your data, and you may object to processing. Guardians exercise these rights on behalf of junior profiles.

15. Data export

Profile → Privacy & Data → Export My Data produces a machine-readable copy of your profile, scorecards, hole statistics, training, diagnosis and subscription history. Guardians can export each linked junior profile.

16. Deletion

Profile → Privacy & Data → Delete My Account removes your profile and golf records and signs you out. Records that must be kept for accounting, tax or fraud prevention are retained for their legal period and then removed. Backups are cycled on a schedule, so removal from every backup copy may take longer than removal from the live service.

17. Contact

Questions, requests and complaints go to the official support contact published in the application. You also have the right to complain to your local data protection authority.

18. Changes

When this policy changes materially we publish a new version, record the version a consent was given under, and ask for fresh consent where the law requires it.
